We currently have 124 units and will be at 126 open at year end. We will be adding anywhere from 15-30 units per year over the next several years in all of our markets. We are focused on either building or acquiring high performing units in our existing markets as well as the opportunity to enter new markets through acquisition.

Job Summary: 

The Facilities Coordinator is responsible for a variety of tasks related to the maintenance, repair, and the improvement of all WhiteWater locations. This includes managing the R&M work order dispatch system, coordinating with vendors, contractors, and technicians to schedule and monitor repairs and installations. This person will build and maintain healthy relationships between WW team members, vendors and contractors.  

 

This position reports directly to the Senior Real Estate and Facilities Coordinator and will work with our team of construction and capex directors and managers, our maintenance director and technicians and our accounts payable team.

 

Responsibilities:

  • Support facilities maintenance team for the general upkeep and maintenance of buildings as needed.
  • Management and routing of service requests received through a third-party facilities platform for facilities related repair & maintenance needs.
  • Oversee and manage all comprehensive Contractual Maintenance programs to ensure all safety inspections and preventative maintenance programs are being properly scheduled and executed. 
  • Manage an existing contractor and service agent base to ensure all work is completed in a timely and cost-effective manner.
  • Work with the internal team to source new contractors and service agents as needed to support the continued growth of the brand in new markets.
  • Review and approve quotes for additional work that is beyond the original scope or exceeds the established NTE amount.  
  • Reconciliation validation to ensure completed work matches approved work order and supplier invoice charges and that final invoice has been submitted to Accounts Payable (AP) for payment processing.
  • Collaborate with management from various internal teams within the organization and outside: Store team, AP, Safety and Finance.
  • Assist with the management of the annual Capital Expenditure plan and budget as needed.
  • Assist with special projects and additional tasks as needed.

Requirements:
  • Minimum of 5 years’ experience in a Facilities Management role (must have multi-unit experience). 
  • Proficiency in MS Excel, MS Word, MS PPT.
  • Ability to multi-task and communicate clearly to all levels of internal management.
  • Excellent problem solving and critical thinking.
  • Strong attention to detail.
  • This role is expected to have independent judgment.
  • Well-versed in technical/engineering operations and facilities management best practices.
  • May be required to be available by phone after hours to respond to emergency maintenance situations. 
  • Ability to respond in a timely manner to requests by e-mail or telephone for facilities support. 
  • Documents, tracks, and monitors assigned requests to ensure prompt resolution.  
  • Relies on experience and judgment to plan and accomplish goals.  
  • High School Diploma Required.
